Privacy Policy

LittleLog is run by Carlo Toledo. In this policy, “we” and “us” mean that operator. If you have any question about it, write to ctoledocarlo@gmail.com.

What we collect

Information about you and your daycare

• Your name, your email address and your password. Passwords are stored in scrambled form, so we cannot read them.
• Your daycare’s name, and the names and email addresses of the educators and administrators it adds.
• Your role in the daycare (owner, administrator or educator) and which programs you can open.
• A logo, if your daycare uploads one, and how you chose to display it on printouts.

What you plan

• The weekly plans you write: activities, learning expectations you choose, books, notes, room names and similar text.

Payments

• If your daycare subscribes, our payment provider, Stripe, collects your card details and billing address. We never see or store your full card number. We keep a reference to your Stripe customer and subscription, its status, and the number of extra seat packs.

Technical information

• Basic records made when you use the service, such as the time of a request and errors. We use these to keep the service running and to fix problems.

Please do not enter children’s personal information

LittleLog is a planning tool for educators. Plans should describe activities, not individual children. Please do not type children’s names, photos, health details, behaviour notes or anything else that identifies a child into LittleLog. If you believe a child’s information has been entered by mistake, delete it from the plan and tell us at ctoledocarlo@gmail.com so we can help remove it.

How we use it

• To run your account and show your daycare its plans.
• To send you emails about your account: confirming your address, invitations, password resets and billing notices.
• To take payment for your subscription.
• To keep the service secure, prevent misuse, and fix faults.
• To answer your questions.

We do not sell your information. We do not show advertising. We do not use your plans to train AI models.

Who can see your information

• Within your daycare. The owner and administrators can see every program. Educators can see only the programs they have been given. Another daycare can never see your plans.
• Service providers that help us run LittleLog. They handle information only to do their job for us:
  • Supabase: our database, sign-in system and file storage.
  • Vercel: hosting for the website.
  • Stripe: payments and invoices.
  • An email delivery provider: sends the messages described above.
• When the law requires it, for example a valid court order.

Some of these providers may store or process information outside Canada, including in the United States. Where that happens, the information is subject to the laws of that country, which may allow its authorities to access it in some circumstances.

Cookies

We use only the cookies needed to keep you signed in. We do not use advertising or tracking cookies. If you block cookies, you will not be able to sign in.

How long we keep it

• We keep your information while your account is open.
• If your daycare asks us to delete its account, we remove its plans and member details from our systems within a reasonable time. Backups may keep copies for a short period before they are overwritten.
• We may keep payment and invoice records for as long as tax and accounting rules require.

Your choices and rights

You can ask us to:

• show you the personal information we hold about you;
• correct information that is wrong (you can also change your own name in Settings);
• delete your information, or your daycare’s account.

Write to ctoledocarlo@gmail.com. We may need to confirm who you are first. If you are an educator and not the owner, we may refer your request to your daycare’s owner, who controls the account. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Keeping information safe

Each daycare’s information is kept separate from every other daycare’s, and access is limited to the people your daycare chooses. Connections to LittleLog are encrypted. No system is perfectly safe, though. If we learn of a breach that creates a real risk of harm to you, we will tell you and the authorities as the law requires.

Changes to this policy

If we change this policy in a way that matters, we will update the date at the top and, for significant changes, tell account owners by email.
